Client Transparency: Weekly, Monthly, Quarterly
At Crucible, every performance client gets three layers of reporting, on a set schedule, regardless of account size. Weekly, monthly, quarterly. Each one does a different job, and together they’re what keeps us accountable to the KPIs that our clients actually set.
Weekly: the PDF everyone gets
Every performance client receives a weekly PDF. It covers what we did that week, what’s planned for the week ahead, any results worth flagging, and anything we’ve noticed on the client’s website that changed significantly, a ranking shift, a technical issue, a competitor move.
Depending on account size, this sits alongside a weekly or biweekly call. But the PDF itself doesn’t depend on the size of the retainer. A smaller account gets the same document as a large one. The weekly report exists to catch things early, a ranking shift, a technical issue, a competitor move, rather than to justify the fee that week or let something sit unnoticed for a month before someone happens to ask about it.
Monthly: the Data Studio review
Once a month, we present the Data Studio report. This is where SEO results get tracked against actual monthly progress rather than a single week’s snapshot, and increasingly, where we talk about AI visibility alongside traditional rankings: how a client’s showing up in AI Overviews and LLM answers.
Monthly is a worthwhile point in which to assess results and check in, quarterly is where we really like to measure success and account progress.
Quarterly: the strategy meeting
Every quarter, we sit down, either at the client’s offices or here in London. This is the deep-dive session: what the last three months’ strategy delivered, what the next three months look like, and the real numbers underneath both, conversions, ranking movement, business growth attributable to the work.
We really stress the need for these quarterly meetings to be in person rather than video calls, our contract is an important part of growing the clients business, we need to visit the premises, meet the team and look each other in the eye!
This transparency and cadence ensures we are held accountable
The weekly PDF, monthly reports and quality get togethers work well as it offers different levels of transparency and results are appropriate intervals. It’s the combination, short-term detail, medium-term trend, long-term strategy, that actually holds an account accountable to the KPIs a client set at the start, rather than the KPIs it’s convenient to talk about later.
Transparency runs as a fixed structure here, the same for every client, every week. Ultimately we do this to give us the best chance of getting amazing results quarter after quarter.
